Hayaland Auctions — B2B Liquidation Auctions Effective date: July 5, 2026
This Privacy Policy explains how Hayaland Inc. ("Hayaland", "we"), a company registered in the United States and in Japan, collects, uses, and shares information when you use the Hayaland Auctions platform (the "Platform"). By using the Platform you agree to this Policy.
1. Information we collect
Information you provide:
- Account information — name, email address, password (stored in hashed form), and mobile phone number.
- Business information — business name, business address, and business contact phone, collected for buyer verification, records, and shipping coordination.
- Transaction information — your bids (including your maximum bids), watchlist, auctions won, and payment status. Payment itself is made by bank transfer outside the Platform; we do not collect or store your bank account or card numbers on the Platform.
- Communications — messages you send us, including dispute submissions.
Information collected automatically:
- Usage and device data such as pages viewed, listing views, IP address, browser type, and timestamps, collected through server logs and strictly necessary cookies used for authentication and session management. We do not use advertising cookies.
2. How we use information
We use information to: operate the Platform and run auctions; review and approve buyer accounts; display auction activity (in anonymized form — bidder identities and maximum bids are never shown to other bidders); process winning purchases and coordinate payment, pickup, and shipping; send transactional emails (account confirmation, password and security notices, auction and order updates); prevent fraud, shill bidding, and abuse; comply with legal obligations, including tax and customs requirements; and improve the Platform.
We do not sell your personal information, and we do not use it for third-party advertising.
3. How we share information
We share information only as follows:
- Service providers (processors) that host and operate the Platform on our behalf, currently including Supabase (database, authentication, and file storage) and Vercel (web hosting and content delivery), and our email delivery provider for transactional messages. These providers process data under their own security and privacy commitments and only to provide services to us.
- Logistics — if needed to coordinate a pickup or shipment you have arranged, we may confirm relevant order details with your designated carrier.
- Legal and safety — where required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Hayaland, our users, or others, including fraud prevention.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
Within an auction, other users see only anonymized bid activity (e.g., "Bidder 1") and never your identity, contact details, or maximum bids. If you win an auction, your name, business name, and contact details are used by Hayaland to complete the sale.
4. International transfers
Hayaland operates from the United States and Japan, and our service providers store data primarily in cloud regions that may include Japan and the United States. By using the Platform, you understand that your information may be transferred to and processed in countries other than your own, which may have different data protection laws. We take reasonable steps to protect your information consistent with this Policy wherever it is processed.
5. Security
We use reasonable technical and organizational safeguards, including encryption in transit, hashed passwords, database-level access controls (row-level security), and restricted administrative access. No system is perfectly secure; please use a strong, unique password and notify us immediately of any suspected unauthorized access.
6. Retention
We retain account, bid, and transaction records for as long as your account is active and thereafter as needed for legitimate business purposes, including our legal, tax, accounting, audit, and dispute-resolution obligations. Bid and sale records may be retained even after account closure where required for these purposes.
7. Your choices and rights
You may review and update your account and business profile information at any time through your account settings. You may request access to, correction of, or deletion of your personal information by contacting us at info@hayaland.com; we will honor requests to the extent required by applicable law, subject to records we must retain (see Section 6). Depending on your jurisdiction (for example, if laws such as the California Consumer Privacy Act or Japan's Act on the Protection of Personal Information apply to you), you may have additional statutory rights; we will handle verified requests in accordance with applicable law. Transactional emails necessary to operate your account (such as security and order notices) cannot be opted out of while your account remains open.
8. Not for children
The Platform is a business-to-business service intended for users 18 years of age or older. We do not knowingly collect information from children.
9. Changes to this Policy
We may update this Policy from time to time. The current version, with its effective date, will always be posted on the Platform, and material changes may also be notified by email or in-app notice. Continued use after changes take effect constitutes acceptance.
